Beamin Privacy Policy

Effective 24 September 2026

Effective date: 24 September 2026 · Applies to the Beamin app for Android (package com.perlicom.beamin), the Beamin app for iOS and the Beamin web app at beamin.io.

1. Summary

  • Beamin needs an account. It is a video-meetings service: your meetings, contacts, messages, notes and recordings live on our servers so every device and the web app see the same thing.
  • A meeting is live communication. Your camera, microphone and, if you share it, your screen are sent to the other people in the meeting through our service, for as long as you are in it.
  • Recording and transcription are deliberate acts. Nothing is recorded or transcribed unless someone in the meeting starts it. Section 5 explains what happens then.
  • Your address book is read on your phone only. When you invite someone from it, only the one address you picked is sent. Beamin never uploads your contacts.
  • No location. Beamin asks for no location permission of any kind.
  • The free plan shows ads, supplied by Google AdMob, never during a meeting. A paid plan removes them. Section 7 explains what that means for your data.
  • You can delete your account from inside the app, and everything in it goes with it.

2. Who is responsible

Perlicom Systems Limited (company number 546999, Ireland) is the data controller for Beamin. Contact: support@perlicom.com.

If you use Beamin for your organisation's meetings, you decide who is invited and what is discussed, and you remain responsible under data-protection law for the people you invite and for anything you record. Google acts as an independent controller for the data its sign-in, Play and advertising services collect, under Google's own privacy policy (policies.google.com/privacy).

3. Signing in

Beamin uses Sign in with Google. Google gives us your account identifier, e-mail address, name and profile picture; we use them to create and identify your Beamin account and to show you to the people you meet with. We do not receive your Google password. A session cookie is then kept on your device so you stay signed in; sessions can be ended from the app.

A separate e-mail-and-password sign-in exists solely for app-store reviewers, so a reviewer can test the app without a Google account. It is not offered to ordinary users.

4. What the service holds

4.1 Your account

Your name, e-mail address and profile picture, your personal meeting id, your plan, your settings and the devices you have signed in on (a push token and the platform label, so a call can ring). Purpose: to run the service. Lawful basis: performance of our contract with you.

4.2 Your meetings and messages

Meetings you schedule or join, who was in them and for how long, invitations and responses, the waiting room, direct and group messages, files you attach, shared meeting notes, polls, whiteboard strokes, your contact list and contact requests, and blocked users. These are stored on our servers so they are there on every device. Purpose: to provide the service. Lawful basis: performance of our contract with you.

4.3 Live audio, video and screen sharing

While you are in a meeting, your microphone and camera streams — and your screen if you choose to share it — are carried by the service to the other participants. They are live: unless someone records the meeting (section 5) we do not keep them after the meeting ends.

4.4 Diagnostics

Our servers record requests with the date, the request and an IP address, and the app reports playback or connection problems. Purpose: keeping the service working and secure. Lawful basis: our legitimate interest in a service that runs.

5. Recording, transcripts and dictation

A meeting is only recorded when someone starts a recording. When that happens the recording is uploaded to our servers and appears in the Recordings list of the account that made it. A recording can be played back, saved to your device, deleted, or shared through a link the owner creates — anyone with that link can watch it, so share it carefully.

Dictation and transcripts. If you use dictation in a meeting, your speech is turned into text and that text is posted to the meeting's shared transcript, which the other participants can see. It is not a private note.

Everyone's responsibility. Recording a conversation involves other people's personal data, and in many countries the law requires their knowledge or consent. If you record or transcribe a meeting, you are responsible for telling the other participants and for having a lawful basis to do it. Do not record where you may not.

Virtual backgrounds and blur run on your device. The model that separates you from your background runs locally on your phone; camera frames are not sent anywhere for that purpose.

6. Permissions, and exactly what each one is for

PermissionWhat Beamin uses it for
CAMERAYour video in a meeting; scanning a QR code to join a meeting; taking a photo for your avatar or a custom virtual background.
RECORD_AUDIOYour voice in a meeting, and dictation into the shared transcript when you use it.
MODIFY_AUDIO_SETTINGSSwitching call audio between the earpiece, the loudspeaker and a headset.
BLUETOOTH, BLUETOOTH_CONNECTRouting call audio to a wireless headset. Beamin does not scan for or collect information about nearby devices.
READ_CONTACTSOnly the invite flows, and only when you open them: your phone's address book is read on the device so you can pick someone to invite. Beamin does not modify your contacts and does not upload your address book. When you send the invite, only the address of the person you picked is sent to our server.
FOREGROUND_SERVICE and its MICROPHONE, CAMERA, DATA_SYNC and MEDIA_PLAYBACK typesKeeping a meeting alive when you move the app to the background or the screen turns off, so your audio, video and connection do not drop. Android shows an ongoing notification while it runs.
POST_NOTIFICATIONSMeeting reminders, someone knocking at the waiting room, new messages and invitations, and incoming calls.
USE_FULL_SCREEN_INTENT, MANAGE_OWN_CALLS, FOREGROUND_SERVICE_PHONE_CALLShowing an incoming Beamin call on the lock screen, the way a phone call appears, and letting you answer or decline it there. These relate only to calls inside Beamin; the app has no access to your mobile network calls.
READ_PHONE_STATERequired by the Android calling framework that draws that incoming-call screen. Beamin does not read your phone number, your call log or your SIM details for its own purposes.
WAKE_LOCKKeeping the screen awake during a meeting, and receiving a push notification.
READ_MEDIA_IMAGES, READ_MEDIA_VIDEO, and on older Android READ_EXTERNAL_STORAGE / WRITE_EXTERNAL_STORAGEOnly when you choose: picking an image or video as a virtual background or an avatar, attaching a file to a message or a meeting, and saving a file or a recording you received to your device.
INTERNET, ACCESS_NETWORK_STATEReaching the service, and noticing when you are offline.
com.android.vending.BILLINGBuying and restoring a subscription through Google Play (section 8).
Screen captureScreen sharing uses Android's own screen-capture consent dialog each time you start it. Nothing is captured until you accept it, and it stops when you stop sharing.

Camera and microphone hardware are declared as optional features, so the app can be installed on a device without them.

Permissions the app does not have: no location of any kind, no SMS, no call log, no access to your mobile network calls, and no background access to your camera or microphone outside a meeting you are in.

7. Advertising

The free plan of Beamin is supported by advertising supplied by Google AdMob. Ads appear in two places only: a small banner in the app's main screens, and occasionally a full-screen ad at a natural break — after a meeting has ended. No ad is ever shown during a meeting, over your video, over a screen share, over a message you are writing or over a payment, and a full-screen ad is rate-limited so it cannot become a recurring interruption.

Paid plans see no ads at all.

To serve those ads, Google may process your device's advertising ID, coarse device and app information (model, operating-system version, app version, language) and your IP address, from which an approximate, city-level location is derived, as an independent controller under its own policies. It also records whether an ad was shown, seen or tapped, and diagnostics from the ads SDK.

We pass Google nothing from your meetings. Your audio and video, screen shares, recordings, transcripts, messages, files, notes, contacts and the identities of the people you meet are not shared with the ad SDK, with an advertiser or with anyone else, and no ad is targeted using them.

  • In the EU, EEA and UK the app asks for your consent before any personalised advertising, through Google's certified consent flow. You can reopen it and change your answer at any time from the privacy options in the app's settings.
  • On Android you can reset or delete your advertising ID, and switch off ad personalisation, in Settings > Privacy > Ads (on many phones: Settings > Security & privacy > Privacy > Ads, or Settings > Google > Ads). Deleting the ID stops Beamin's ads being personalised. You can also manage Google ad settings at myadcenter.google.com.
  • How Google uses data from apps that use its services is described at policies.google.com/technologies/partner-sites.

8. Subscriptions

Beamin Pro and Beamin Business are auto-renewing subscriptions bought through Google Play in the Android app. Google processes the payment; we never see your card or bank details. When a purchase completes, the app sends the receipt to our server, which checks it with Google and records what your account is entitled to. Google gives us a limited order record through the Play Console (such as an order number, date, product, price and country, but not your name or payment details), which we use for accounting, tax and refunds.

A plan can also be bought by card in the web app at beamin.io. That payment is handled by our payment provider, Revolut; we never see your full card number. We keep the order record, and a reference to the saved payment method so the plan can renew, until you cancel or delete your account.

9. What is kept on your device

Your sign-in session; your preferences (default microphone and camera state, theme, ringtone, background choice); files and recordings you chose to download or save; cached thumbnails; the on-device model used for background blur; and, if you switched it on, the optional usage counts below. Uninstalling the app or clearing its storage removes them.

Optional usage counts. Settings contains "Count which features I use". It is off by default. If you switch it on, the app counts actions such as "a meeting was joined". The counts stay on your device and are not sent to us; switching the option off erases them and the random identifier they are kept under. They never include a meeting name, a participant, a message or a file name.

10. Who else sees your data

  • The other people in your meeting or conversation. That is the point of the product: what you say, show, share, type or write is seen by them.
  • Hosting. Our servers, which run the service and store your account and content.
  • Revolut, if you pay by card on beamin.io, to process that payment.
  • Google, for Sign in with Google, for Google Play and Play Billing, for push notifications to Android devices, and — on the free plan — for the advertising in section 7. Apple for push notifications to iOS devices.
  • Anyone you give a recording link to, if you create one.

We may also disclose data where the law requires it. We do not sell your personal data, and we do not use your meetings, messages or recordings to train anything or to target advertising. Where a provider such as Google processes data outside the European Economic Area, it does so under its own approved safeguards, such as the EU-U.S. Data Privacy Framework or the European Commission's Standard Contractual Clauses.

11. How long we keep it

  • Your account and its content — meetings, messages, notes, contacts and recordings — are kept while your account is open.
  • Live audio, video and screen sharing are not stored at all unless a recording was started.
  • A recording is deleted automatically 10 days after it was made, or sooner if the account that owns it deletes it or the account is deleted. If an account has more recordings than its plan keeps available, the older ones are moved to an encrypted archive; archived copies are kept until the account is deleted, or sooner if you ask us to delete them.
  • Server logs are kept for up to 90 days for security and troubleshooting and are then deleted.
  • Order records are kept for as long as Irish tax law requires (currently six years).

Deleting your account. Settings > Delete account, in the app or in the web app at beamin.io, removes your account and its contacts, meetings, messages, notes and transcripts, your recordings including their video files and any archived copies, and, if you own a team, its member list and pending invitations. To protect you, we first ask you to confirm it is you by signing in again, and to type DELETE. A plan paid by card on beamin.io stops renewing. A Google Play subscription is cancelled for you so you are not charged again; if we cannot cancel it, deletion stops and we tell you how to cancel it in Google Play first. Order records are kept as described above, with your e-mail address removed. You can also e-mail support@perlicom.com from the address you signed in with and we will do the same within one month. A message you sent to someone else may remain in that person's copy of the conversation, as it is now their record too.

12. Security

Every connection the app makes uses encryption (HTTPS/TLS/WSS), and the app does not allow unencrypted traffic. Sign-in tokens are held in your device's protected storage. Meetings can be protected with a password and a waiting room, and a host can mute, remove or block a participant.

13. Your rights (GDPR)

If you are in the EU, EEA or UK you have the right to access, correct, delete, restrict or port your personal data, to object to processing based on legitimate interests, and to withdraw consent where processing rests on it. E-mail support@perlicom.com and we will answer within one month.

You have the right to lodge a complaint with the Irish Data Protection Commission (www.dataprotection.ie) or with the supervisory authority where you live or work.

14. Children

Beamin is intended for adults and is not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has created an account, contact us at support@perlicom.com and we will delete it.

15. Changes to this policy

We will update this page if the app or the law changes, and change the effective date above. If a change materially affects how your data is used, we will also tell you in the app or on the Google Play listing.
